How to use
Start with the worked example to understand the inputs, then replace every relevant value with your own figures. Use one currency and consistent units throughout. Add or remove rows where offered; irrelevant conditional fields are disabled and excluded. Select Calculate after editing. Review negative values and any “not determined” result rather than assuming every scenario must be profitable. Download a text summary or print the page for your records.
Formula and assumptions
Size desks for an explicitly entered peak attendance rate plus a buffer. Average weekly attendance equals office days divided by five, and cannot exceed the peak-day rate. Desks are rounded up; a buffer may produce more desks than headcount, which is shown rather than silently capped. New area combines desk planning area including circulation with fixed meeting/support space. All area inputs and rent must use the same ft² or m² basis. Rent savings assume area can actually be surrendered; lease timing, fit-out, accessibility and code requirements are not inferred. This is a scenario, not a probabilistic attendance forecast.
desks = ceil(headcount × peak attendance × (1+buffer)); new area = desks × area per desk + fixed support area; annual saving = (current area − new area) × rent per area × 12
Worked example
Example only: replace rates with your own figures.
Inputs
- Employee headcount: 100
- Average office days per employee per week: 3
- Peak-day attendance: 70 %
- Desk buffer above peak attendance: 10 %
- Current office area: 10000
- Planning area per desk including circulation: 100
- Fixed meeting and support area: 1000
- Monthly rent per area unit: 2
- Office area unit: ft²
- Planning desk count: 77
- Employees per desk: 1.2987
- New planning area: 8700 ft²
- Area reduction: 1300 ft²
- Indicative annual lease savings: 31200 USD
Frequently asked questions
Are the example rates current market prices?
No. Example inputs demonstrate arithmetic, not live prices, tax rules, salary surveys or sponsor benchmarks. Enter a dated quote, bill, manufacturer specification or verified fee schedule that applies to your situation. Compare a conservative and an optimistic scenario separately.
Why is a result not determined?
Some calculations have no meaningful value when a denominator is zero, savings are non-positive, a target cannot be reached or your data do not bracket an intersection. The tool leaves that result undetermined instead of displaying infinity or inventing a recommendation. Check the method and your inputs.
